Just a “coaching”

I work for a non-profit transitional living house for women and their kids. I received a “coaching” today for 3 items – two of which I’ll accept but one where I didn’t agree with. I am new to a new position and have been taking over the intake process of new residents. We receive the application and have a 24 hour window to reach out to the client to schedule them for a tour and intake paperwork (48 hours if they submit on a weekend). As a new employee I didn’t have access to the intake emails right away. The client in question submitted their application on 2/6 (Sunday) and the follow up was done 2/9 (Wednesday). I was not given full access to the intake form until 2/10 (Thursday). When I presented this to HR, they said it’s just a coaching, not a write up and wouldn’t take the…

But if you’re going to put the coaching in my file, then put the additional information in my file as well. Am I wrong for that?
