Job Description:
• Provide administrative support to Executives and Department Heads – ranging from high level projects to administrative assistant tasks
o Maintain a high level of confidentiality
o Execute and manage projects
o Proactively solve problems without direction from supervisor
o Provide exceptional customer service using the Servant Leadership model
o Assist in the planning and implementation of corporate and customer events o Participate in and ensure new-hire training with respect to corporate procedures and company culture
• Provide a pleasing office environment
o Answer main phone and direct calls as necessary o Directly oversee maintenance and office supplies
o Coordinating with custodial staff
o Coordinate with vendors
o Attend annual Fire Marshal training and act as the Office Fire Marshal o Coordinate travel for employees
o Coordinate lien release requests
• Manage and maintain Document Retention Policy
o Organize, archive, and destroy corporate documents according to Document Retention Policy
o Attend training as needed to ensure compliance
o Maintain accurate and up-to-date corporate files
o Manage corporate records and document retention o Manage document database
• Oversee corporate information technology operations
o Ensure all corporate staff have required IT resources
o Keep IT environment running smooth
o Troubleshoot issues with IT vendor to resolution
o Ensure new hires' IT setup is complete (order technology as needed, set up user accounts, create an email, connect new users to shared Drives, etc.) o Manage employee termination (deactivate email, gather company equipment, etc.)
o Facilitate employee terminations in conjunction with the HR Department
The salary is $53k. It's essentially an Office Manager, Project Coordinator, HR assistant, and Executive Assistant all rolled into one. The offer letter also has no formal hours listed which is concerning to me.
ETA: So another red flag. I was told there is unlimited PTO. But it states nothing about PTO period in the offer letter or benefits package. I’ve never seen anything like this…..
