Payroll Fucks Up & Gives My Employee Xtra PTO in ’21 Then Takes It Away Over A Year Later

I need to vent because I'm still triggered. Last Friday, my direct report told me she is missing 3.07 of accrued hours of pto. She had 18.45 hours and needs 3.07 added. I have her log into the HRIS system and show me the discrepancy. I validate she's missing the hours and advise her to reach out to payroll to have this corrected. I message her today to see if she got a response. We hop on a Slack huddle and she shows me the email from Payroll which is that she actually has 13.93 hours not 18.45 hours, gives her an excel sheet that is manually tracked and corrects her time in the system. I'm like, what? How do we go from 18.45 to 13.93 when we're asking about 3.07 that wasn't accrued. I have her forward the spreadsheet to me and she shares her screen so we can…

I have her forward the spreadsheet to me and she shares her screen so we can find the misalignment. Back in 11/12/21, Payroll incorrectly gave her an extra 4.52 hours. I'm annoyed just by payrolls shitty response to my report that she reduced her time without explaining why there was a misalignment in the system and in the spreadsheet. So I email Payroll asking why the system doesn't show the correct hours and requesting a quick call to discuss. She says… look spreadsheet. That's literally it “look at the spreadsheet”. Ok, I did. So I'm worked up… like wow. My report has been planning a trip and was counting on having a certain number of pto hours to cover it. So I speak to my depts HR rep and she says “it doesn't matter if the mistake was over a year ago, it's not her hours. Employees are responsible of making sure their hours are correct.”. I'm like, “I hear you, but Payroll should've caught this.” I get “you don't expect Payroll to review all 500 peoples pto.” “Yes, I do expect Payroll to do their job.” So my report didn't get their 4.52 hours back and I'm just going to let her go on her trip without worrying about submitting pto. I need to get this out of me.
