Manager stealing perks from the employees

Writing this in on mobile sorry in advance for any weird editing. I work a kind a very specific job in a niche industry, but essentially I am a manager of a private storefront for a trade company. The trade company contracted with my company (parts supply) to have us be a private vendor to their field employees. My company has public store fronts as well, and recently we have implemented a rewards program for customers. This includes my own host company. When I charge out a ticket above a certain amount, I add reward points to the employee’s account using a phone number.

They can save these points for really cool stuff we showcase on the app. I’m talking anything from seasonings and hand tools to yeti coolers, major power tools, and name brand barbecues.

There is a manager who I have to work closely with due to the nature of the relationship between my company and theirs and my position specifically, who helped set up the rewards points profiles for the field employees. He also set up an account for himself and the owner.

My company’s rewards team (out of the kindness of their heart) backdated a shit load of points for the manager mentioned, and added a set amount of points to get the field employees rolling. They gifted and backdated so many points for the manager that he basically was able to order himself 2 large name brand reward items.

This is where it becomes frustrating for me. Ever since I came in (I’m not the first manager of this front, there’s been a whole load of drama that happened before I took over and I am still trying to establish boundaries with these people) and after the rewards points were established, the manager mentioned above has been sending me tickets to charge and to award the points to him.

Not a big deal, really. Unless you consider the idea that this rewards program was set up with the field employees in mind. These guys bust their ass in the hot sun, and sell jobs to keep the money flowing in to the company. You can’t allow them one extra perk of working for you? Instead, you go behind their backs and pull parts for jobs you didn’t sell and take the points they could have used to reward themselves for their hard work and money spent on these jobs?

I don’t like it. I feel like a piece of shit when I listen to him and give him the points, mainly because I don’t know who the actual job is for until the guy comes to pick the parts up.

So I think tomorrow when I charge out a ticket sent to me by the manager asking specifically to take the points, I’m going to write a quick little memo on the invoice stating “PO sent in by -managers name- and points awarded”

Managers name will be present as the receiver of the ticket, however I’ll make sure to hand that copy right on over along with the part to the employee doing the job. Just so they know they won’t be receiving those points, their manager will.
