“Hope this email finds you well.
I am writing to you about a pattern that is concerning with regard to your request for sick leaves.
In as much as an employee can call in sick, this must be done within reasonable time and consideration to ensure that a replacement is found within time to cover the shift.
On Saturday the 16th of September, 2023 you sent a Whatsapp message at 3.56 am expecting a replacement to be found for you at 10:00 am.
This was repeated on Thursday the 21st of September, 2023 when you sent a message at 21.51 about being sick. I was expecting that a message could be sent early on Friday but still waited until 20:50 to send me a message about your inability to report to work on Saturday. The same happened on the 23rd of July, 2023 sending a message at 23:32 and I had to find a replacement for you for a 7:30am shift.
I understand that you could fall sick at unknown times but informing me at such times is putting undue pressure on me and the staff that needs to replace you and it is unacceptable.
Below is a protocol that needs to be followed. I have sent this to you but I am sending it again as a reminder about the scheduling.

Vacation Leave
Vacation leave is requested on your employee portal and is ONLY approved by your Head. Unless applied for through the system at least three working days prior to the requested date/s and approved by your Head it means you still have to report to work.
Sick Leave
You are to make contact with your Head by
8.00am if you are sick and cannot report to work. Also confirm your address of residing to the Head so we inform the GP where to come if we see that you are abusing the system. If you are requested to take 3 or more than 3 days you are requested to provide the blue certificate.
Sick leave not reported by 8.00am will be understood as absent from work and the allocated hours are understood as unpaid “
I have only taken 3 days vacation leave this year whilst working this job and have never abused of sick leave.
